Main Duties

Job Description

• An executive assistant provides comprehensive administrative support to our Business Heads.
• This role requires exceptional organizational skills, discretion, and the ability to handle a wide range of tasks efficiently.

Key Responsibilities:

• Calendar Management: Manage the executive's schedule, including coordinating meetings, appointments, and travel arrangements. Ensure the executive is informed of their daily/weekly agenda.
• Communication: Act as a primary point of contact between the executive and internal/external parties. Handle phone calls, emails, and other forms of correspondence. Draft and proofread documents,reports, and presentations.
• Information Management: Organize and maintain documents, records, and files.
• Ensure that information is easily accessible and confidential materials are handled securerly.

Meeting Support: Prepare agendas, attend meetings, and take detailed minutes.

• Distribute meeting materials and follow up on action items.
• Travel Arrangements: Plan and book travel itineraries, accommodations, and
• transportation for the executive. Manage expenses and reconcile travel-related financial matters.
• Project Assistance: Assist with special projects, research, and data analysis. Collaborate with other team members to ensure projects are executed smoothly.
• Office Management: Oversee office operations, including ordering supplies, managing office equipment, and ensuring a clean and organized workspace.
• Problem Solving: Act as a problem solver for the executive, addressing issues that may arise and finding efficient solutions.
• Any other responsibilities as assigned by Seniors.

Other Requirements

Qualifications:

Education:

• A bachelor's degree is preferred.

Experience:

• Prior experience as an executive assistant or in a similar administrative role is highly valuable. Experience in the specific industry may be an advantage.

Organizational Skills:

• Exceptional organizational and time management skills arecritical for success in this role.
• Communication Skills: Strong written and verbal communication skills are necessary.
• Technology Proficiency: Proficiency with office software and tools, including Microsoft Office, email, and calendar applications, is essential.
• Adaptability: The ability to adapt to a dynamic work environment and handle unforeseen challenges is important.
• Confidentiality: Maintaining the utmost discretion and confidentiality is a fundamental requirement, as executive assistants often handle sensitive information.
• Interpersonal Skills: Being able to work effectively with individuals at all levels within the organization, as well as external contacts, is crucial.
• Problem-Solving: The ability to identify and solve problems efficiently is important in supporting the executive's needs.
• Multitasking: Executive assistants often juggle multiple tasks and priorities, so the ability to multitask is a valuable skill.
