Main Duties

Duties and Responsibilities:

• The intern will be required to assist with the following activities and any other activities related to their position as required by the employer from time to time:
• Assisting in drafting employment contracts using KPL templates and ensuring they comply with labor laws.
• Supporting day-to-day employee-related issues by providing appropriate resolutions and advice.
• Helping set up and maintain personnel files and employee information, ensuring they are kept in order and updated timely.
• Assisting in ensuring that information in the payroll, contract status list, and leave roster is correct and updated timely.
• Coordinating employee performance and appraisal procedures.
• Maintaining records for all employee training undertaken and evaluations to ensure both appropriateness of training and value for money.
• Supporting the implementation of KPL policies by clearly communicating their existence and ensuring that all employees understand the standards of behavior expected by KPL.
• Assisting with the preparation for disciplinary and grievance cases and hearings, and the follow- up.
• Helping solve and prepare all issues related to Social Security Fund (NSSF & PPF) and Workers Compensation Fund.
• Supporting the Head of HR & Legal in the recruitment process, including developing job descriptions and person specifications, preparing job adverts, checking application forms, and shortlisting.
• Handling the overtime procedure, such as reviewing submitted overtime forms to ensure all requirements are attached and calculating total hours worked for payment.
• Ensuring that all Human Resources documents are regularly maintained and updated on the server.
• Handling all administrative HR letters, such as warning letters and increment letters, and ensuring they are properly saved on the server.
• Working closely with the Head of HR & Legal and all departments to understand and implement policies and procedures, ensuring compliance with Tanzanian labor laws.
• Assisting in implementing an induction program for new employees.
• Undertaking any other duties or activities as required by KPL Management and the Head of Department
