Main Duties

Responsibilities

Calendar & Schedule Management

• Coordinate and maintain the executive’s daily schedule, including meetings, appointments, and travel.
• Proactively manage conflicts and prioritize commitments, ensuring efficient time management.
• Prepare daily agendas, ensuring the executive is briefed on upcoming events and meetings.

Travel Arrangements

• Arrange and manage domestic and international travel, including flights, accommodation, ground transportation, and itinerary creation.
• Handle any travel-related issues or changes, ensuring a smooth and stress-free experience.
• Prepare travel expense reports and manage reimbursements as needed.

Email & Communication Management

• Manage the executive’s email inbox, prioritize and respond to correspondence as appropriate, and flag important messages.
• Draft, proofread, and edit emails, letters, and other communications on behalf of the executive.
• Serve as the primary point of contact between the executive and internal or external stakeholders.

Meeting & Event Coordination

• Organize and prepare for meetings, including booking venues, arranging catering, and handling logistics.
• Take detailed meeting minutes, follow up on action items, and ensure timely completion of tasks.
• Assist in planning and organizing events, dinners, and conferences.

Project & Task Management

• Assist the executive in managing and prioritizing ongoing projects and tasks.
• Conduct research and gather information as required for various projects, reports, and presentations.
• Track deadlines, milestones, and deliverables to ensure the timely progress of projects.

Personal Support

 Document & File Management

• Organize and maintain digital and physical files, ensuring documents are easily accessible and well-archived.
• Prepare and format documents, presentations, and reports as needed.
• Handle confidential information with the utmost integrity.

Other Requirements

Qualifications:

• Bachelor’s degree or relevant certification preferred but not required.
• 3+ years of experience as a personal assistant, executive assistant, or in a similar role.
• Proven experience supporting senior-level executives is highly desirable.
• Strong organizational and multitasking abilities.
• Excellent verbal and written communication skills.
• High proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
• Ability to handle sensitive information with discretion.
• Problem-solving skills and a proactive, positive attitude.

• Flexibility to work outside standard office hours when needed.
• Ability to adapt to a fast-paced environment and prioritize tasks effectively.
• Reliable and trustworthy, with a high level of personal integrity.
