Main Duties

Job Summary:

• The Procurement Intern is a key member of the procurement team at Kilimanjaro Plantation Farm, responsible for assisting in managing the complete lifecycle of purchase requests—from inquiry and quotation to order placement, delivery, and reporting. This role demands precision, proactive communication, and a commitment to securing the best value for the farm while ensuring compliance with established procedures.

Key Responsibilities:

Order Processing & Request Management:

• Assist in receiving and digitalizing purchasing requests, ensuring clarification of any ambiguities and proper prioritization.
• Adhere to prescribed procedures and timelines to process each request efficiently.

Vendor Sourcing & Quotation Management:

• Obtain at least two to three competitive quotations for every requested item.
• Review and analyze vendors’ supply options and pricing to guarantee the best value in terms of quality, price, and delivery schedule.

Documentation, Communication & Decision Support:

• Prepare clear, logical memos and decision-making documentation for the Head of

Procurement, Department Head, and General Manager.

• Accurately complete order documents and secure necessary approvals from relevant managers.
• Inform the accounting department and designated storekeeper immediately upon finalizing orders.

Logistics & Delivery Coordination:

• Assist in organizing purchasing trips as required, ensuring timely execution of procurement activities.
• Oversee the receipt of goods, verifying that product quality and quantity meet specified requirements.
• Ensure the seamless handover of items and accompanying documents to the storekeeper after a thorough security check.

Negotiation & Cost Management:

• Support in negotiating favorable pricing and supplier terms, proactively addressing potential business issues to protect the farm’s interests.
• Assist in developing and implementing strategies that drive cost savings and meet or exceed supplier performance targets.

Process Oversight & Reporting:

• Monitor and routinely update the status of requests and orders to ensure process integrity and transparency.
• Prepare comprehensive reports on purchases, cost analyses, and related statistics for senior management.

Team Support & Continuity:

• Provide backup support by temporarily assuming the responsibilities of other procurement staff when necessary.
• Ensure appropriate, documented handovers of duties and responsibilities during staff absences.
• Undertake additional tasks and projects as required to respond to evolving farm needs.
