Main Duties

Job Scope:

• Warehouse officer is responsible for Organizing the arrival, storage, issue and recording of material movements into the factory and in and out of stores while maintaining an accurate stock record of items held in the warehouse. He/she is responsible with maintaining the required stock level and report stock variances against actual count or ERP system as well as perform other duties associated with the stores function and material movements as directed by the Warehouse Manager.
• The individual is responsible for providing cover to Warehouse Manager during short-term holiday, illness or any other form of absence.

Primary Tasks
Issuing

• Receive, evaluate, process and report discrepancy related to daily requirements
• Supervise any actual movement of stock items from the warehouse and ensure no movement is carried out in his/her absence
• Be accountable for any un-reported stock discrepancy in the span of control
• Prepare, protect and pack consignments for delivery to customer and/or suppliers, ensuring that the items dispatched will be protected during transit.

Record Keeping

• Maintain updated records of inventory in Bin cards, ERP system and daily report templates
• Ensure stock movement records are filled and kept in safe place
• Record and report movement of items transferred to another location / store, available stocks in store, scheduled stock counts, damaged and/or obsolete stocks

House Keeping

• Ensure warehouse is clean, arranged and tidy, free from dust, cobweb and unrequired items
• Supervise cleaning contractors to support in ensuring a clean and tidy warehouse environment
• Ensure EHS standards are maintained in the warehouse and implement action plans identified on each weekly SC management tours

Leadership

• Assist the Warehouse Manager by leading the stores team to deliver planned objectives
• Oversee overall stores performance and take initiatives to improve
• Identify knowledge gaps, train and develop the stores team to work efficiently and independently
• Coordinate HR projects (meetings, training, surveys etc.) and take minutes

Financial Responsibilities 

• Cost optimization
• Responsibility for Physical Assets
• Making sure that Office assets & equipment are efficiently used.

Responsibility for Procurement 

• May raise requisitions.

Working conditions 

• Working environment requires that the Ware House Officer and all his/her Team wear PPEs all the time for safety reasons.
• Office bound / on-site / travel/ May be required to travel
• The company may choose to relocate to branches or other sister offices as and when needed
• Willing to work extended hours to accomplish job roles

Other Requirements

Qualifications and Competencies

• Degree or Diploma in Clearing and forwarding, Business Administration, Accounts, Economics, Management, Transport and Logistics / Supply chain
• Qualifications as an added advantage: MBA 
• Professional registration: Registration with Procurement and Supplies Professionals and Technicians Board (PSPTB).
• General work experience of 3 Years
• Industry: Manufacturing Sector
• Good command of English and Kiswahili languages
• IT literate with experience of using databases, Microsoft Office (Word, Outlook, Excel) and SAP/ERP Software Application experience
• Excellent communication skills, and time management skills
• Possess analytical skills, and presentation skills
• Excellent personal planning skills with the ability to multitask, prioritize and to meet tight deadlines
• Well, organized with an understanding of priorities and changing demands
• Be a self-starter who is result oriented and customer focused
• Effective team player with excellent interpersonal relationship skills
• Strong ethics and a high level of personal and professional integrity.
• Exceptional accountability skills and problem-solving skills

Authority:

• Communicate daily stocks report
• Communicate inventory variances to Production team, Logistics (Imported material) and Accounts
• Receiving of internal, local and import materials and give a report
• Coordinate with Quality team for material verification
• Allocate daily activities to casuals supportingmaterial arrangements and dispatch.

Performance Measurement Criteria:

• Inventory Turnover within 30Days
• Inventory stocks Accuracy Physical vs System (SAP) (98%).
• Warehouse Utilization (99%)
• Offloading materials received from local and import within 24 hours.
• Number of trucks dispatched per day against received trucks on site.
• Number of LTIs occurring in the area of operational
