Main Duties

Job Scope

  • To support Sales and Admin functions within the Service centre. To coordinate between Sales, Production (including DSM) and Dispatch to efficiently service customer orders.

Responsibilities

  • To manage the overall day to day operations, ensuring the Service centre is kept in proper condition and compliant with all statutory and company policies
  • Monitor to ensure Customer Service functions are carried out on time and accurately.

In the absence of separate Customer Service Assistant at the branch;

  • Receive approved Sales Quotations (SQ) from salesperson, confirm payment with credit control, generate payment receipts and convert SQ to Sale Orders (SO) for production or dispatch
  • Liaise with production team on production timelines to achieve OTIF
  • Keep customers informed on status of their orders
  • Coordinate with dispatch officer for delivery functions and raise documents such as Invoice.
  • Liaise with Dispatch officer to ensure compliance of stocking matrix of Coils, sheets and accessories
  • Receive customer feedback and complaints, liaise with concerned departments, and follow up to ensure closure
  • Manage customer goods return as per policy
  • Analyse and close all obsolete and irrelevant SQ and SO in SAP on a monthly basis
  • Ensure Z-report is reconciled before close of business daily and sent to DSM
  • To be the custodian of all company assets and inventory at the Service Centre
  • Arrange and coordinate monthly/annual stock counts and ensure zero variance
  • Assist in marketing activities, participation in trade fares/ exhibitions, when necessary
  • Manpower supervision of outsourced staff
  • Ensure compliance to PRODUCT CARE and Service Centre SOP
  • To be the custodian of Petty cash at the Service Centre and manage disbursement and replenishment of the same on timely manner as per policy
  • Kitchen/canteen management if any
  • Prepare and submit reports as required by Head of SC


Other Requirements

Qualification

  • Higher Diploma/Undergraduate degree in business management or equivalent
  • Excellent customer service
  • Good communication and listening skills
  • MS Office Excel competency
  • Able to solve problems and make quick decisions
  • Flexibility to work long working hours as and when required

Authority

  • In-charge of admin and housekeeping of the service centre
  • Convert quotation to sale order
  • Payment confirmation
  • Close non-valid open orders
  • Petty cash in-charge
  • Hold sale order/invoicing should documents not be available per SOP
